Job Purpose and responsibilities:
• To act a first point of contact for the housing providing a first class customer focused service.
• To provide all housing reception services including housing and cashiers services, assisting customers with completion of relevant forms and correspondence, receiving visitors and dealing with all housing enquiries including maintenance, repairs, rent arrears, homelessness, housing advice, housing management, service charges, RTB and other related enquires. This will include liaising with various departments internal and external.
• To be responsible for maintenance follow up work, including job progression with Building Maintenance, Vale Works and other outside contractors and to prioritise repair work/inspections in accordance with the Council’s adopted policy.
• To input, maintain and update all elements of the relevant housing and financial I.T. systems including receipt, registration and banding of housing applications, repair requests, medical referral updates and maintenance data entry for all Council dwellings and other Council properties. To be responsible for the receipt, opening and distribution of all mail, including logging all correspondence on the corporate CRM system and to undertake clerical and administration duties as required including scanning using corporate systems ie TRIM, filing, photocopying, collating information/documents,
• To process all supply requests and orders for all housing offices, sheltered housing schemes and residents organisations and monitor and maintain a record of requests.
• Checking payment details including invoices and ensuring payments are recorded correctly and discrepancies identified prior to authorization by the Senior Neighbourhood Manager. This will include keeping up-to-date spreadsheets for payment on all accounts and ensuring payments are correctly coded and authorized before sending to Finance and ICT for payment.
• Processing requests for petty cash, recording payments made, balancing accounts and requesting necessary funds from Finance and ICT all in accordance with Financial Regulations.
• Ensure compliance with the Council’s Financial Regulations, Standing Orders, Policies and Procedures
• To implement the principles of the Council’s Equal Opportunity Policy whilst carrying out the above duties
• To adhere to Health and Safety legislation / relevant Council policies and procedures and to take reasonable care for the health and safety of yourself and other persons who may be adversely affected by your acts / omissions.
• To implement the principles of the Council’s Environment Policy while carrying out the above duties.
• To report without delay any safeguarding concerns to the appropriate safeguarding officer.
• Such other duties and responsibilities commensurate with the grade and in accordance with the general character of the job as may reasonably be required by the Chief Officer from time to time.
