Executive PA

Job Details

Bury Council are looking for an Executive PA To provide a comprehensive and confidential personal assistant service to the assigned Executive Directors.


  1. Ensure familiarisation with the Executive Directors’ commitments, current priorities and working practices so that less important issues can be deflected/diverted.
  2. Provide liaison function between the Chief Executive, Executive Directors and Cabinet
  3. Effectively coordinate project work to support the delivery of a high quality
  4. Accurately, sensitively and professionally communicate instructions issued by the Executive Director to other staff to enable them to carry out tasks
  5. Accurately assimilate information received and relay to the Executive Director to enable them to provide responses and make
  6. Be alert to new and changing
  7. Act on initiative in terms of seeking information from officers, other authorities/organisations, and/or research on the internet to enable the Executive Director to carry out their role
  8. Prioritise work to meet deadlines to enable the provision of support to multiple Executive
  9. Use own initiative to draft correspondence (letters, emails etc) including responses to Councillors and MPs for Executive Director to
  10. Maintain an electronic bring forward system on behalf of the Executive
  11. Accurate document production using Microsoft Office suite of packages, using corporate templates, maintaining confidentiality as appropriate.
  1. Management of the Executive Director’s diary commitments ensuring adequate time allowed, filtering appointments, ensuring all relevant participants are invited and adequate preparation
  2. Arrange meetings with multiple attendees as requested to include room booking, setting up of equipment, notification of reception and any other requirements.
  3. Receive internal and external enquiries, ensuring that maximum information is obtained from the enquirer in order to facilitate an informed response Maximise and promote use of all functions of Microsoft 365 including Outlook, Teams, Excel, Word, and PowerPoint in respect of own work and that of senior management to include use of email, diary management and arranging meetings.
  4. To deal with complaints and enquiries, including Freedom of Information requests, Subject Access Requests and environmental Information Regulations requests. Taking responsibility for co-ordinating responses with relevant departments, undertaking redactions and providing reminders to ensure that responses are provided within the agreed timescales and co-ordinating sign-off at the appropriate level in line with agreed processes
