MAIN PURPOSE OF JOB:           

The People Assistant role is a key member of the People & Culture team, reporting directly to a People Partner. This role will provide a high quality, customer service to stakeholders, promoting a positive employee experience which promotes the Service as an “Employer of Choice”.

The post holder(s) will need to be fluid in their approach, with the ability to support other colleagues within the Department, ensuring good quality and consistent service provision is always maintained.

 

SPECIALIST DUTIES AND RESPONSIBILITIES

  • To act as the first point of contact to the People and Culture Department by providing cover for the Helpdesk, managing the helpdesk inbox and delivering excellence in customer service.
  • To carry out all admin support tasks required by the department e.g. input and checking of accurate data/information, maintenance of electronic office systems, production of all documentation using MS Office suite, use of the HR Management database and responsible for the support and cover the workload of the other People Assistant during their absence and to carry out relevant duties to ensure the services of the function are delivered efficiently
  • To undertake the creating of employee relations information including the preparation and maintenance of standard letters and a range of documentation.
  • To support the department budget monitoring by processing financial documents (orders, delivery notes, invoices).
  • To serve as a point of contact for employees, providing smooth communication and timely response and resolution to queries.
  • To oversee the department electronic filing systems including appropriate retention and disposal of documentation appropriatelyday to day maintenance of the Helpdesk activity log undertaking any appropriate action.
  • Conduct audit checking for People related processes and compliance.
  • To be responsible for the effective organisation and attendance of meetings/events, including the preparation of resources (e.g. booking venues/calendar management), and taking comprehensive minutes/actions to be shared with attendees.
  • To attend careers events in order to promote the Fire and Rescue Service as an ‘Employer of Choice’.
  • To assist in relevant research required for HR function initiatives.
  • To maintain a basic knowledge of relevant HR and recruitment related legislation and best practice.

 

DUTIES AND RESPONSIBILITIES

  • To work effectively and efficiently to support line management in the delivery of the department’s aims and objectives.
  • To ensure that all policies and procedures within the function are adhered to in accordance with regulations, lean thinking and value for money.
  • To maintain appropriate and robust information systems within the department.
  • To maintain positive and effective liaison links with organisations and partners as appropriate.
  • To support the preparation and production of a variety of quality information for inclusion in management and departmental reports.
  • To ensure complete compliance with current Data Protection Legislation.
  • To ensure relevant knowledge is up to date.
  • To identify and recommend areas of potential improvement.
  • To represent the function at internal and external meetings and events and take minutes when required.
  • To support the activities of the function and diary management for line management where required.
  • To support colleagues with their work as required.
  • To attend internal and external training courses as necessary.
  • To undertake any other duties as appropriate to the role.

Location – Head Office, SR5 3QY

Client – Tyne and Wear Fire and Rescue Service

37 hours a week – Mon-Fri (9am till 5pm)

PAYE Pay Rate – £13.26 per hour

Dress Code – Business Casual
