About the Role

We are looking for an organised and reliable Business Support Assistant to provide day-to-day administrative and business support within Family Centres.

You will act as an important point of contact for families, visitors, colleagues and external agencies, while supporting the smooth running of the service through accurate administration, record keeping and coordination.

Key Responsibilities

  • Provide general administrative support to the Family Centre team.
  • Act as a first point of contact for telephone, email and face-to-face enquiries.
  • Welcome visitors and provide appropriate signposting and information.
  • Maintain accurate electronic and manual records, databases and spreadsheets.
  • Input, retrieve and present data for reports and management purposes.
  • Set up and maintain files, including archiving and retrieval of records.
  • Provide reception cover when required.
  • Manage incoming and outgoing correspondence and support team diaries and emails.
  • Produce letters, reports, forms, presentations and other documents using Word, Excel and PowerPoint.
  • Arrange meetings, including invitations, room bookings, travel and refreshments.
  • Prepare and circulate meeting documentation and take accurate minutes.
  • Undertake straightforward financial administration, including invoice coding, procurement orders and petty cash.
  • Maintain stationery and office stock.
  • Maintain confidential employee and service records.
  • Ensure all information is handled securely and confidentially.
  • Follow council policies and procedures, including health and safety, financial regulations, risk management and corporate governance requirements.

About You

The successful candidate will have:

  • Experience working in an administrative or business support role.
  • Good organisational and time-management skills.
  • Strong communication and customer service skills.
  • Experience maintaining accurate records and databases.
  • Good working knowledge of Microsoft Word and Excel.
  • The ability to handle confidential and sensitive information appropriately.
  • Experience arranging meetings and taking minutes.
  • The ability to manage competing priorities and meet deadlines.
  • A professional and helpful approach when dealing with families, colleagues and external organisations.
