Job Title: Business Support Officer
Service Area: Homelessness & Asylum/Refugee Services
Role Purpose
To provide high-quality administrative and coordination support to the Homelessness and Asylum/Refugee services. The postholder will ensure efficient processes, accurate record keeping, and effective financial administration so frontline staff can focus on supporting residents.
Key Responsibilities
- Manage shared mailboxes and workflows, ensuring enquiries and referrals are logged, allocated and responded to in a timely manner.
- Arrange appointments, meetings and interpreters as required.
- Maintain accurate and up-to-date case records in line with data protection and service standards.
- Support multi-agency meetings, including preparing agendas, taking minutes and tracking actions.
- Produce routine performance reports, spreadsheets and service trackers.
- Provide financial administration support, including raising purchase orders, processing invoices, maintaining approval records, resolving supplier queries and monitoring basic spend trackers.
- Handle sensitive and confidential information appropriately.
- Support the wider team to meet deadlines and service targets.
Person Specification
Essential:
- Previous experience in an administrative or business support role.
- Strong organisational skills with the ability to manage competing priorities.
- Experience maintaining accurate records and working with databases or case management systems.
- Confident using Microsoft Office (particularly Excel and Outlook).
- Experience supporting meetings (agendas, minutes, action logs).
- High level of attention to detail and ability to handle sensitive information.
Desirable:
- Experience within housing, homelessness, asylum/refugee services, local authority or public sector.
- Experience processing invoices or purchase orders.
