Job Title: Business Support Officer

Service Area: Homelessness & Asylum/Refugee Services

Role Purpose

To provide high-quality administrative and coordination support to the Homelessness and Asylum/Refugee services. The postholder will ensure efficient processes, accurate record keeping, and effective financial administration so frontline staff can focus on supporting residents.

 

Key Responsibilities

  • Manage shared mailboxes and workflows, ensuring enquiries and referrals are logged, allocated and responded to in a timely manner.
  • Arrange appointments, meetings and interpreters as required.
  • Maintain accurate and up-to-date case records in line with data protection and service standards.
  • Support multi-agency meetings, including preparing agendas, taking minutes and tracking actions.
  • Produce routine performance reports, spreadsheets and service trackers.
  • Provide financial administration support, including raising purchase orders, processing invoices, maintaining approval records, resolving supplier queries and monitoring basic spend trackers.
  • Handle sensitive and confidential information appropriately.
  • Support the wider team to meet deadlines and service targets.

 

Person Specification

Essential:

  • Previous experience in an administrative or business support role.
  • Strong organisational skills with the ability to manage competing priorities.
  • Experience maintaining accurate records and working with databases or case management systems.
  • Confident using Microsoft Office (particularly Excel and Outlook).
  • Experience supporting meetings (agendas, minutes, action logs).
  • High level of attention to detail and ability to handle sensitive information.

Desirable:

  • Experience within housing, homelessness, asylum/refugee services, local authority or public sector.
  • Experience processing invoices or purchase orders.
