The role of the Operations Assistant – SRQA is to provide professional, confidential and high-quality organization and administrative support for the Safeguarding Review and Quality Assurance Service including supporting inspections. You will support the operations Team Manager – SRQA to support the service to meet the needs of children, young people and their families. You will undertake and support the department’s finance transactional activities and work with colleagues in the finance team. Team members may be asked to work in a flexible and agile way across the operations function to carry out other reasonable duties to ensure resilience and service delivery.
ABOUT THE ROLE
You will need to:
1. Maintain and develop efficient and effective business support systems e.g., management information systems, filing systems, accurate and timely data returns, and implement improvements as required.
2. Undertake the completion of finance transactions, including the creation of requisitions, invoices, including supplier set-up and queries for the department.
3. Update the finance models and information for services across the department to support the SRQA Finance Officer.
4. Undertake and oversee the timely processing of customer contact including taking responsibility for incoming and outgoing post
5. Provide cover across the operations service in the case of emergencies.
6. Undertake the creation of case records on case management systems (E.g., for incoming missing persons notifications and LA out of borough placement notifications)
7. Undertake the management of service inventory, coordinate stationery and equipment orders.
8. Support the onboarding and induction of new starters, including user set-up, equipment requests and IT induction.
9. Coordinate workforce development and service training events for the service as required
10. Contribute to the wider operational and service development taking on additional responsibilities commensurate with the role.
11. Prepare case files for archiving and amend location records as appropriate. Monitor storage information to ensure that procedures relating to the GDPR, confidentiality and Customer First are met.
12. To be aware of and work in accordance with the Council’s child and adult protection policies and procedures in order to safeguard and promote the welfare of children and adults and to raise any concerns relating to such procedures which may be noted during the course of duty.
13. The ability to work within a framework of confidentiality within multi-disciplinary settings SRQA Specific Duties
1. Co-ordination of the Allegations against Professionals process (booking strategy meetings, record strategy minutes, uploading on electronic system (mosaic) and updating records on the spread sheet)
2. Collate statistical data regarding Allegations against professionals, FOI requests and Child Protection Conferences list.
3. Co-ordinate and minute complex multi-agency meetings or panels including strategy meetings, which are Chaired by Child Protection Advisors and Safer Organisations Manager
4. Support the Service’s quality assurance activities and responsibilities towards PAF indicators.
5. Maintain the department’s statutory service users’ records including:
a. Temporary child protection list
b. Missing children register
c. Sex offenders register
d. Allegations against professionals
e. Monitor and track LAC Reviews held in time
f. Update systems with case allocation to IRO’s
6. Assist in the operation and development of a comprehensive Looked After Children Review Information System,
7. Provide administrative support to all services areas in SRQA including Head of Service and managers. 8. Co-ordinate and minute CP Conference and LAC reviews which are chaired by Child Protection Advisors and IRO’s at the direction of the Operations Manager – (please note; this is during absences or busy periods) 9. Ensure London CP Procedures are complied with 10. Management of incoming out of borough notifications.
