PURPOSE OF THE JOB:
The Project Support Officer is responsible for excellent support services across all project portfolios within the Highways division; assisting with effective communication between project teams and stakeholders; and providing central support services to the unit. The Project Support Officer is also responsible for maintaining central project records and producing regular reports on projects and spend.
PRINCIPAL ACCOUNTABILITIES:
1. Act as the first point of contact in the division for internal and external customers, responding promptly to enquiries and complaints. Manage filing and monitoring systems, including financial records, databases and Confirm.
2. Provide support for projects, including assisting with internal and external meetings, coordinating the publication of documents (e.g. consultations, briefs, reports) and helping to ensure the division’s web presence is updated and accurate.
3. Financial processing support including purchase orders, invoices, vendor creation etc and maintain records when required, including the running of reports for senior managers with necessary data analysis e.g. of costs versus budgets.
JOB CONTEXT / REPORTING to:
1. The post is located in the Highways Division and the post holder reports to the Senior Project Support Officer. The Highways division is part of the Council’s Environment, Neighbourhoods and Growth department.
2. The postholder may be expected to represent the Council with external agencies and other stakeholders
3. No direct financial responsibility or staff management, but will be involved in financial processing
4. Collate NRSWA Statutory Undertaker search results when requested
5. Carry out site visits to e.g. put up works notices or photograph progress of works
6. Process enquiries and complaints records on iCasework and run relevant reports
7. Co-ordinate divisional IT needs e.g. software purchase and installation and management and maintenance of technical equipment.
8. Support for the Council’s diversity, Respect at work and other people-related policies
9. Occasional attendance at Council meetings including out of normal working hours
Day Umbrella Rate – £203.37
