Purpose of the Role:

 

In conjunction with the Fleet Engineering Manager and workshop supervisor, provide essential front office support to provide high quality fleet repairs for the Councils and customer vehicle fleets and equipment.

 

Providing exceptional customer service for fleet customers and stakeholders in delivering effective communication and vehicle repair solutions to meet set standards and service level agreement targets. A working mechanical knowledge of repair processes and workshop administration functions is essential along with ability to directly liaise with customers and to be the first point of contact for workshop customer and supplier’s queries to the fleet department workshops. Responsible for parts invoice reconciliation and invoicing customers as required

 

This role will be responsible for ensuring all Council and customer vehicle and equipment assets are recorded correctly in vehicle and equipment systems and to complete all invoicing and scheduling of equipment ensuring all customers receive timely notification service updates and of inspection, service and MOT appointments. Liaise with external service providers to ensure MOTs and booked to align with MOT / service bookings in the fleet workshop.

As the fleet Service Advisor, you will be responsible for high levels of data accuracy within the fleet vehicle workshop and asset base and workshop software, which the Council will rely upon to manage its vehicles, costings and maintenance records for the internal vehicle / equipment users.

To liaise with the fleet vehicle database users for regular contract meetings ensuring any database concerns are dealt with or are escalated to the Fleet Operations manager.

To submit regular data on vehicle downtime and repair costings, and repair trends.

To monitor analyse and provide detailed vehicle and equipment maintenance costs to the fleet operations Manager to enable financial monitoring of the fleet budget on a monthly and annual basis in readiness for budget setting.

To develop implement and maintain effective quality systems to enhance the service delivery of the Councils frontline service departments

  • Ensure all duties are undertaken with regard to the prevailing Health and Safety Standards.
  • Document risk assessments of all work activities and implement the findings. Highlighting any areas which require further attention to Fleet Operations Manager.
  • Ensure health and safety is regulary monitored and reviewed to comply with health and safety legislation and Council polices.
  • Support investigations in to all accidents and health and safety concerns.
  • Take part in and in the absence of the Fleet Operations Manager organise Fleet team meeting.

 

The Council fleet of vehicles and equipment are core assets which are critical to delivering services to the public and those others who use the frontline services of the Council. The Fleet Service Advisor is fully committed to ensuring these vehicles and equipment are provided in a safe, cost effective and fit for purpose condition by scheduling and informing vehicle / equipment users of any Safety Inspection, Service, MOT or LOLER test dates or appointments.

  1. To ensure all vehicles, plant and equipment are held in the vehicle / equipment data base and service records are amended and updated as required.

  1. To ensure all vehicles listed on the Council’s Operator’s Licence have their preventative maintenance inspections, service, MOT, and LOLER tests are scheduled in alignment with prevailing DVSA regulations, and manufacturers requirements.

  1. To liaise with external suppliers for the supply of parts and to ensure they are delivered on time, and meet the correct specification agreed with the workshop

  1. To ensure that all external suppliers are managed effectively to ensure the Councils maintains cost effective vehicle repairs.

  1. To assist the Head of Fleet Operations Manager to ensure all procedures lay down by the DVSA with relation to O Licence standards are met.

  1. To resolve customer and supplier concerns in accordance with the Council’s corporate complaint policy and to escalate as required to the Fleet Operations Manager accordingly.
