Senior Executive Assistant

Job Details

London Borough of Haringey are recruiting  for a Senior Executive Assistant to help form part of the Business Management Team within Adult Health and Communities and provides business and personal support to a busy Assistant Directors. The postholder will work closely with the Assistant Directors and act as a point of contact for a range of internal and external stakeholders. They will also provide a support in terms of organising and making an accurate record of a range of internal meetings, and support cover during periods of annual leave and sickness cover.

 

  • Ensuring the Assistant Director is well prepared for meetings with the right information and are prompted on important issues
  • Coordination and circulation of agendas in advance of meetings
  • Effective prioritisation of meetings and balancing of demands
  • Scheduling and organisation of meetings and venues
  • Liaising with attendees to ensure correct representation
  • Planning and organising management team meetings and away days
  • Supporting recruitment processes, including the use of the recruitment portal Talent Link and other systems including, Matrix
  • Raising of purchase orders and processing of invoices using SAP and provision of cover for other roles within the team when purchase orders and invoices need to be processed for the senior management team
  • Coordination of responses on behalf of the Assistant Director, for a range of internal and external stakeholders
  • Planning and diarising Management Team meetings as directed
  • Planning and diarising My Conversation meetings
  • Manage emails and correspondence, dealing with inboxes and redirecting enquiries. Highlighting important and urgent issues
  • Residents, colleagues, councillors, and other organisations
  • Dealing with complaints and sensitive issues courteously and helpfully. Ensuring that responses from the Assistant Director’s teams are of a high-quality and on time
  • Excellent working knowledge of the areas of work the Assistant Director is responsible for and the wider organisation. Ability to assist others to navigate processes.
